Russian-speaking ability is required for this position. The ability to communicate effectively with patients and families in Russian is an important component of providing culturally responsive, accessible care to our patient population.

Required Qualifications
High school diploma or equivalent and completion of an accredited Medical Assistant program or equivalent relevant clinical experience.
Certified Medical Assistant (CMA or RMA) with current CPR/BLS certification.
Fluency in Russian, including the ability to communicate effectively with Russian-speaking patients and families, and strong verbal and written communication skills in English.
Previous experience in a medical office, primary care, community health, geriatrics, or another healthcare setting, with knowledge of basic medical terminology.
Demonstrated ability to obtain and accurately document vital signs and perform basic clinical procedures and point-of-care testing in accordance with training, protocols, and scope of practice.
Strong organizational, time-management, and prioritization skills, with the ability to manage multiple responsibilities in a busy clinical environment while maintaining attention to detail.
Ability to work effectively as part of an interdisciplinary healthcare team while also working independently and recognizing when assistance or direction is needed.
Strong computer skills and the ability to learn and use electronic medical records, including Athena.
Experience with vaccine management, point-of-care testing, EKGs, and other routine clinical procedures.
Commitment to patient confidentiality, HIPAA compliance, patient safety, and infection-control practices.

Key Responsibilities and Functions
A. Provide Telephone and In-Person Reception Services
Greet patients, families, visitors, and business representatives and direct them to the appropriate staff member.
Provide professional, courteous, and culturally sensitive communication, including communication in Russian with Russian-speaking patients and families.
Answer and triage incoming calls, respond to routine inquiries, take messages, and transfer calls as appropriate.
Maintain staff location/availability tracking and a clean, organized, welcoming reception area.
Protect patient confidentiality and privacy at all times.
Respond appropriately to patient and visitor concerns, using appropriate de-escalation techniques and seeking assistance when needed.
B. Provide and Manage Clinic Intake and Scheduling
Perform patient intake, determine patient needs, and direct patients to the appropriate clinician or healthcare team member.
Assist with registration, intake documentation, and updating demographic, insurance, medication, allergy, and other patient information.
Schedule and coordinate appointments, including physicals, annual wellness visits, preventive care, chronic disease follow-up, and recall appointments.
Answer routine patient questions and assist with access to healthcare services and community resources.
Maintain accurate patient information in the Athena EMR and assist patients with navigating the healthcare system.
C. Provide Clinical and Medical Support
Obtain and accurately document vital signs and other clinical measurements.
Prepare patients for examinations and procedures and assist clinicians within the Medical Assistant’s training and scope of practice.
Update and reconcile medications, allergies, immunizations, medical history, and other relevant patient information.
Perform urine testing and point-of-care testing, including strep, respiratory virus, and pregnancy testing, as trained and authorized.
Administer and document immunizations and perform or assist with EKGs and other office-based procedures as trained.
Prepare, stock, clean, and maintain examination rooms and equipment in accordance with infection-control and safety standards.
Collect, label, and prepare specimens for laboratory processing and promptly report abnormal or concerning findings to the appropriate clinician.
Coordinate laboratory testing, imaging, referrals, and specialist appointments and support care coordination and follow-up.
D. Provide Clerical and Administrative Support
Support the smooth operation of clinical and administrative areas and provide assistance to the healthcare team.
Prepare, scan, organize, and attach reports, forms, letters, EKGs, and other documents to patient records.
Maintain accurate and organized patient records and update information in the Athena EMR.
Assist with medical record requests and other administrative patient needs.
Maintain confidentiality and comply with HIPAA, privacy, and practice policies.
Complete assigned tasks accurately and within established timeframes.
E. Manage Medical and Office Supplies
Monitor, order, stock, and organize medical and office supplies.
Maintain examination rooms and clinical areas with necessary supplies and equipment.
Monitor expiration dates and report expired, damaged, or low supplies.
Assist with vaccine and medication inventory in accordance with practice protocols.
Report equipment concerns to the appropriate staff.
F. Patient Experience and Care Coordination
Promote a positive, respectful, compassionate, and welcoming patient experience.
Build trusting relationships with patients and families and demonstrate cultural sensitivity.
Help patients overcome barriers to accessing and navigating healthcare services.
Assist with outreach and follow-up for preventive care, chronic disease management, referrals, testing, and other clinical needs.
Support value-based care, population health, care management, and quality improvement initiatives.
Encourage patients to participate actively in their healthcare and understand their care plans.
G. Teamwork and Leadership
Collaborate effectively with physicians, advanced practice clinicians, nurses, care managers, behavioral health staff, administrative staff, and other team members.
Support the delivery of high-quality, patient-centered primary care.
Communicate clearly and respectfully with patients, families, coworkers, clinicians, visitors, and community partners.
Demonstrate initiative, accountability, sound judgment, and willingness to seek assistance when needed.
Identify barriers to high-quality service and contribute ideas and solutions.
Participate in staff meetings, training, quality improvement activities, and practice initiatives.

Physical and Work Requirements
Ability to safely perform the physical and clinical duties of the position, including sitting, standing, walking, bending, reaching, and occasionally lifting or moving supplies and equipment. The Medical Assistant must be able to move between administrative and clinical areas throughout the workday and follow appropriate infection-control and workplace safety practices.
